Position Description for the Vice-President (Finance)

Term

  • Two-year term, with possibility of a second term
  • Elected by Members at the AGM in odd numbered years
Key Responsibilities
  • Holds the fiduciary responsibility for the entire organization
  • Oversees all financial operations of the Society including its Branches, Special Interest Groups, Committees, and any other unit to which financial management is delegated Assigned to a special area of responsibility such as membership, governance, volunteer engagement, planning etc.
  • Causes to be kept full and accurate accounts of all receipts and disbursements of the Society including its operating units in proper account books and shall cause to be deposited all monies or other valuable effects in the name and to the credit of the Society, including accounts for all operating units, using such accounting control methods and procedures as the Vice-President (Finance) shall determine, from time to time.
  • Causes to be prepared financial reports on the revenues, expenses, assets and liabilities, and cash flows of the Society as a whole and for such operating units or groups of units as from time to time may be required, or deemed appropriate, all in accordance with Generally Accepted Accounting Standards for Canadian Not-for-Profit Organizations.
  • Reviews and endorses, or makes recommendations, with respect to the annual budgets for all operating units, on an annual basis.
  • Presents to the Members at the annual meeting as part of the annual report, the financial statement of the Society approved by the Board together with the report of the auditor.

Qualifications

  • Prior experience working as a member of a Board of Directors
  • Experience working on a team
  • Must have a formal background in the area of either Accounting or Finance
  • Should possess a skill set in several key areas: Teamwork, Communications, Leadership, Strategic Thinking, Governance and/or Project/Meeting management
  • Should share a passion for family history/genealogy
  • Must be a member of the OGS by the time of the Annual General Meeting
Requirements

  • Must be a member of the OGS by the time of the elections at the Annual General
    Meeting
  • Must complete the OGS Confidentiality Agreement; Code of Conduct; and Conflict of
    Interest Policy and Acknowledgement documents
Time Commitment

  • Approximately 6-8 hours per week, but could be more during the audit time frame
